Christmas Support 2011

Dear Customer,

We hope that your run-up to the holiday season has gone well and that Khaos Control has helped you to meet your customers’ expectations at this busy time of the year. We’re writing to remind you of when our offices will be open over the festive period.

We are open until 5pm on Friday 23rd December, 2011. We next open the doors, inbox and phone lines at 9am on Tuesday 3rd January, 2012.

Please Note:

On Friday 23rd December we will be operating a skeleton support service, for critical issues only.

Support is not offered over the break and whilst we’ll be doing our best to check the answer-phone, we cannot guarantee that we’ll be able to help with any problems you experience until we return ‘en-masse’ on the 3rd January.

We wish you all the best for what remains of the year and hope that you will have a marvellous 2012.

Default Notes

This month's Hidden Gem is about Default Notes which allow the user to define notes that the system will apply to  specified document types, for example on all sales and purchase orders "We are closed for Christmas..." or a marketing message stating that there is a "Special Offer - All of Stock Item X must go" added to sales orders. Default notes can also be setup to appear in a Telesales Prompt popup when a sales order is saved, for example to prompt the user to remind the customer about the upcoming sale or to look at your new website.

Universal Lookup

This month's Hidden Gem is about the Universal Lookup which allows users to find references with a given ID, for example entering a consignment number will return the sales invoice number associated with it, entering a cheque reference will display the customer or supplier associated with that cheque reference.

KSDL Moving Offices

Dear Customer,

 

Keen to ensure that we have enough room for our continued expansion, we are moving offices this weekend. We’re staying in Grantham, moving to a fantastic industrial unit conversion closer to the centre of town. We’re really excited about the move, as we’ve been able to work hand-in-hand with the developers to deliver an environment that provides us with a high quality, professional working environment whilst also giving us further room for expansion in the future. We will be publishing details and some pictures once the move is completed.

We’ve planned the move so that its impact will be as minor as possible on the Support and technical teams here in Grantham, the new offices are wired up and ready to go and the removal men will be shifting everything across over the weekend. As you might expect, it is likely that there will be a slight hiatus on Monday morning as we get everyone up and running and we ask that you bear with us if we’re unable to respond instantly first thing next week.

 

Things to note:

 

      1.      Our phone number (0845 25 75 111) and email addresses will not be changing.

      2.      We’re planning for there to be issues with the telephone system and our emails on Monday morning. We’re hoping that these will be minimal, and potentially non-existent, but please bear with us if we don’t pick up the phone or answer your email immediately.

      3.      We will have a new IP Address range from Monday and once we have confirmation on all of these we will contact you so that your technical teams can update any connection protocols, as necessary.

      4.      Our new address will be:

Keystone Software Email

Our email and network systems are now back on line, we still have some minor internal disruption but we are now receiving emails again. If you have sent an email on or after the 13/09/2011 they will need to be resent as we will have not received them. All support emails sent today (16/09/2011) will have been received. If you have any urgent issues which need attention please contact the support team who will be more than happy to help. Emails will be dealt with as soon as we can.

Unfortunately our email issues have taken longer than intended to resolve and this has meant our email server has been offline during some of the downtime. The result is that some email will have been bounced and will need to be resent. We plan to bring the systems back online as soon as possible. Email queries will be dealt with as soon as possible, once our systems are back up to full speed.
 
15:30 - Addendum - Systems not fully back online yet. This will page will be updated as the status changes.
16:20 - Addendum - Systems will unfortunately not be back online until tommorow. Further updates to follow.

Linking Related Stock Items on a Sales Order

Planned Server Maintenance

Support Ticket System Degraded

Due to a hardware issue on one of our servers last night which is currently undergoing immediate repair, our Support Ticket system is operating at a degraded performance level.
 
The support team are still available if you have any queries but they may not be able to provide you with a Support Ticket reference until later today. The issue is also affecting ability to remotely connect out to customers systems. We hope to have both of these issues rectified very soon.

Analysing Lost Demand

Lost demanding a line on a sales order allows you to record when a sale is lost due to lack of stock or high lead times on an item, allowing you to analyse the frequency and recency of such events and adjust your reordering as appropriate.

Merge Company Records

This month's Hidden Gem is about how to merge two customer records using the Company Merge Dialog. This is very useful when duplicate records have been created with slight variations.  Merging company records allows you to combine two records for the same customer resulting in all Orders, Addresses, Contacts and related records being brought into one account.

Christmas Support

FedEx Gazetteer File Update

Development Process Revamp

VAT Rate Increase Announced

The new Chancellor has announced a VAT Increase to 20% as of January 4th 2011.
We will be releasing an update VAT rate change guide nearer the time, but in the meantime if you have any questions please phone our support line.
